What You Will Be Doing

RECEPTION/SALES

  • Promptly and professionally respond to all inquiries, providing relevant information through phone, email, and in-person correspondence
  • Describe Insight’s services accurately and confidently to new and returning clients, providing clarification and directing them toward the appropriate team members when applicable
  • Welcome and direct clients for in-person appointments
  • Data entry: Enter client data into our CRM database
  • Collect and distribute all in-coming paper mail to relevant parties
  • Maintain a clean and welcoming front office space

COORDINATOR

  • Manage complex scheduling requests for counseling and education departments; call/cancel/confirm testing appointments, consultations, tutoring sessions, following up with clients as needed
  • Ensure that all internal calendars are up to date (testing calendar, counselor calendars)
  • Assist in the planning and execution of in-person events at our center (seminars, holiday parties, test prep classes)
  • Provide support for internal and external meetings; preparing agendas and taking meeting minutes

ADMINISTRATIVE SUPPORT

  • Use established procedures to upload sensitive documents to Insight’s online file sharing content management service and email documents to respective clients with accuracy
  • Prepare student folders for daily counseling meetings
  • Keep all physical and digital paperwork organized
  • Assist in printing and assembling test prep class materials (tests, class binders, handouts)
  • Prepare diagnostic testing materials for weekly appointments
  • Grade student diagnostic exams using internal software and email results to students
  • Maintain office supplies by checking inventory and sharing supply list with management
  •  

Who You Are

  •  Bachelor’s Degree required. This is an in-person role for our Cupertino location
  •  Must have excellent interpersonal skills and attention to detail
  •  Ability to work independently and in a team environment
  •  Great written and verbal communication skills
  •  Ability to handle multiple requests in a fast-paced work environment
  •  Ability to prioritize, problem-solve, and organize
